Learn the three terms you will see most often

BTW means Dutch value added tax. Btw-aangifte is the VAT return. Voorbelasting is input VAT that may be deductible on business purchases. Learning these words makes invoices, accounting reports and official correspondence easier to follow.

The standard rate is 21%, with 9%, 0% or an exemption applying in specific situations. The correct treatment depends on the transaction. VAT exemption and a zero rate are different concepts, including for the treatment of input tax.

A simplified example

You invoice €1,000 plus €210 VAT and incur a fully deductible business cost of €200 plus €42 VAT in the same period. With no other transactions or adjustments, net VAT is €168 (€210 − €42). The €1,210 paid by the customer is not the same as €1,210 of revenue or profit.

Input VAT is conditional

Do not assume every receipt creates an entitlement to a VAT refund. The use of the purchase, invoice requirements and other conditions matter. Private use or exempt activities can restrict deduction. Ask for unclear items to be reviewed rather than applying a blanket rule.

Know what your filing needs to include

Check the actual return period and filing and payment deadlines in Mijn Belastingdienst Zakelijk. If a return is available for you, do not ignore it because you have not yet made sales. Purchases or reverse-charged transactions may still need attention.

A foreign supplier invoice without VAT also needs review. The country, nature of the supply and applicable rules affect how it is reported. Keep the original invoice and explain the business purpose to your bookkeeper.

Make a cash routine

Review sales, costs and the VAT position separately each month. Reserve cash for the expected payment, and agree who files the return and who pays it. Saydam Finance can help organise the records and explain the figures before submission.
