Days 1–30: Build the foundations

This is a suggested work plan, not a statutory timetable. Adapt it to your business, registration date and actual filing obligations. Start by collecting your registration details, contracts, opening costs and any official letters. Agree which software or document channel you will use and who will have access.

Create a simple folder structure and a list of recurring suppliers. Make it clear which transactions are business-related and add explanations to unusual payments. This is easier while the transaction is still fresh than several months later.

Days 31–60: Check the whole money flow

Compare sales invoices with receipts and identify unpaid balances. Match purchase documents to payments and follow up missing invoices. If you sell through platforms, collect the settlement reports alongside the invoices and bank entries.

Platform sales example

A marketplace may pay out €900 after €1,000 of sales and €100 of deductions. Recording only the bank receipt hides the separate sales and costs. A settlement report helps explain the difference; the VAT treatment still needs its own review.

Days 61–90: Review and look ahead

Arrange a review of your first results. Look separately at sales, costs, outstanding invoices, cash and upcoming commitments. Discuss which tax payments need a reserve and whether your original financial plan still reflects the business.

A filing deadline may arrive before day 90. Follow the actual deadlines on your official account and correspondence throughout this period. Do not postpone a required return until this work plan is complete.

What to bring to your first review

  • Your registration details and official tax correspondence.
  • Sales and purchase invoices, bank statements and platform reports.
  • Loan, lease and other material contracts.
  • A list of missing records and questions.
  • Your expected sales and costs for the next three months.

Business records generally need to be kept for seven years, with longer periods for certain categories. Set up a reliable archive from the start. Saydam Finance can help turn your first months of records into a clear monthly bookkeeping and reporting routine.
